What is Power BI?

Power BI is Microsoft's toolset for pulling data from many sources, computing business metrics and presenting them as interactive, self-refreshing reports. This page covers what Power BI consists of, what it does, how it differs from Excel, and where to start.

What is Power BI?

Power BI is Microsoft's data analysis and visualisation suite. It pulls data from many sources (Excel, SQL Server, Google Sheets, accounting software…), combines them into one model, then presents the result as interactive reports you can filter and drill into. Unlike a static report, a Power BI report refreshes itself on the schedule you set.

What kind of report is a Power BI report?

An interactive report that runs in a browser or app, not something you print. Viewers click charts to filter, change the date range, and drill from company level down to a branch or a single product. One report holds several pages, each with visuals bound to the same data model.

What is Power BI used for?

Three things: consolidating data scattered across files and systems, computing business metrics with one agreed formula so every department sees the same number, and presenting the result to decision-makers on desktop or mobile. The most common cases are revenue, finance, inventory, HR and production reporting.

How is Power BI different from Excel?

Excel is better for free-form, ad-hoc calculation on a single sheet. Power BI is better when the same report has to be produced repeatedly over large data: it remembers every data-prep step and replays it automatically, handles millions of rows without slowing down, and shares to many viewers with per-row permissions. Most companies use both.

What's the difference between Power BI Desktop and Power BI Service?

Power BI Desktop is free Windows software used to build reports — connect data, write measures, design the layout. Power BI Service is the cloud platform at powerbi.com where you publish reports, schedule automatic refresh and share with others. The usual flow is build in Desktop, publish to Service.

Is Power BI free? What is Power BI Pro?

Power BI Desktop is completely free — build and view reports on your own machine at no cost. Power BI Pro is a paid per-user monthly licence, needed once you want to share reports online with other viewers. Premium targets larger organisations needing dedicated capacity. Buy licences directly from Microsoft; pricing changes over time.

Power BI vs Tableau vs Looker Studio — which one?

Power BI fits best where Microsoft 365, Excel, SharePoint and Azure are already in use. Tableau is stronger for free-form visual exploration but costs more. Looker Studio is free and convenient when your data lives in Google's stack. Most Vietnamese businesses run on Excel and Office, so Power BI is the path of least friction.

Is Power BI hard to learn? How long does it take?

To build a basic working report: about 2–4 weeks at 1–2 hours a day. Dragging visuals is the easy part. The data model and the DAX formula language are the hard parts — that's where beginners go wrong, and why many people hire a freelancer to lay the foundation and then maintain it themselves.

Who is Power BI for?

Finance, sales, HR and operations staff who produce recurring reports; business owners who want live numbers; and students doing data analysis coursework. No programming needed to start, though basic SQL helps when your data sits in a database.

What data sources can Power BI connect to?

Excel and CSV files, Google Sheets, SQL Server, MySQL, PostgreSQL, Oracle, SharePoint and many business applications. For Vietnamese software such as MISA AMIS, MISA SME, KiotViet, Sapo, Haravan, Fast and Bravo, the usual route is exporting to Excel/CSV or reading the underlying database directly.
